The habits that keep agency books honest
Separate pass-through ad spend from revenue. Client media dollars moving through your cards are not your income and not your expenses. Mixed together, they inflate your top line and bury your real margin.
Track freelancers like the tax event they are. Every contractor payment through the year feeds a T4A in February. A running roster beats reconstructing a year of e-Transfers and PayPal in a weekend.
Record USD revenue at real rates. Eyeballed exchange rates compound into messy revenue numbers and wrong HST treatment. Exported services are often zero-rated, but only documented ones survive a review.
Recognize retainers in the month you earn them. Cash-basis thinking makes January look great and March look broke. Earned-revenue numbers are the ones you can plan with.
